POSITION OVERVIEW
We are seeking a full-time, permanent Events Coordinator to provide planning, project management and on-site execution for a variety of significant community-building events such as dinners and receptions for groups ranging in size from 50 to 400. The Events Coordinator provides similar support for conferences.
Reporting to the Manager, Conferences & Events, and working closely with Member Services, Marketing & Communications and Finance, this is an ideal role for someone who can manage with precision and detail in a fast-paced, professional setting.
This is a hybrid position, with minimum 3 days per week on-site at our downtown Vancouver office. Occasional evening and weekend work is required.
KEY RESPONSIBILITIES
Event Management
Plan and execute events from end-to-end, including creating event briefs, workback plans, run-of-show, speaking notes, registration tracking, post-event evaluations, periodic status reports to stakeholders, and financial reconciliation.
Own on-site execution from setup to teardown, managing risk and resolving issues in real time.
Coordinate venues, catering, AV, speakers, volunteers, sponsors and external partner organizations.
Ensure all meetings meet accessibility, inclusion, health & safety and insurance requirements.
Financial Management, Logistics, and Member Support
Build detailed event budgets and track actuals against plan.
Negotiate contracts with suppliers and venues
Manage registration systems and attendee communications
Prepares and distributes event notices, materials and surveys to registrants.
Coordinate speaker and guest travel and accommodation, when required.
EXPERIENCE AND QUALIFICATIONS
At least two years of experience in event planning or coordination, preferably within a professional association.
Certificate in Event Management or related work experience.
Solid understanding of office administration, budgeting, accounting principles and data management
Advanced proficiency in Microsoft Office, Adobe, and database/registration systems
Experience using and troubleshooting audio-visual equipment (e.g., projectors, audio mixers, microphones) is an asset
Basic HTML knowledge is an asset
Strong project management skills with the ability to communicate clearly and effectively with volunteers and stakeholders
Excellent customer service, including volunteer coordination and strong venue relationship management
Highly organized, detail-oriented and able to prioritize effectively
Proven ability to manage multiple projects simultaneously under tight deadlines
Works both independently and collaboratively in team environments
Adaptable, flexible and able to perform well under pressure
Willingness to work a flexible schedule, including evenings and occasional weekends

SALARY RANGE: $63,000 - $70,000 per annum
